ChatGPT vs Gemini: which assistant should a studio pay for?

Short answer: pay for ChatGPT when the company already lives there, when the job is everyday drafting, custom assistants, images, or a coding-flavoured chat you will still verify. Pay for Gemini when the studio’s real work sits inside Google Workspace — Gmail, Docs, Drive, Sheets — and the assistant should open beside the file, not in a second tab. Most studios waste money on a third login, not on choosing between these two.

The decision that lasts is which document you open on Monday, and which login the rest of the company will actually use.

If you only have budget for one paid plan, buy the one your writers already open, then be honest about the jobs it is clumsy at. A better draft that nobody sees is not a workflow.

What ChatGPT is

ChatGPT is OpenAI’s assistant, and for a lot of teams it is already infrastructure. Everyday drafting, browsing, custom instructions, images, projects, and the path of least resistance because the login exists. Custom GPTs — or whatever the current name is for a saved set of instructions — are how a team bottles a repeated task: a brief template, a support reply, a social draft. Memory and saved instructions are why it feels like a workspace rather than a fresh chat every morning.

OpenAI’s public pricing page describes Free, Go, Plus, Pro, and business/enterprise tiers with different limits on models, deep research, Codex, memory, and admin controls. Names and allowances move. The job does not: a company default for short work, and a place to keep repeated instructions.

Images and browsing are the practical extras. A concept image, a rough visual for a deck, a page on the web you want summarised with the link in front of you. None of that makes it a design tool. Figma is still the file. None of it makes browsing a research method. If the meeting needs citations, Perplexity is the tool on this directory built to show its working, and you should still open the links.

Connectors and apps exist on higher plans for Drive, Slack, GitHub, and similar. That is useful. It is not the same as Gemini sitting inside Docs while you edit. Do not buy ChatGPT because a comparison said “integrations” and then expect Gmail’s side panel.

The trap is the default. Because the login exists, people use it for the long archive it is clumsy at, and for the client voice it flattens. Defaults get used. That is a feature and a reason to be specific about what the default is allowed to touch.

What Gemini is

Gemini is Google’s assistant: the Gemini app, plus Gemini inside Google apps for people on the right Google AI or Workspace plans. Google’s public Gemini pages describe Free access with Flash/Pro variants, then Google AI Plus, Pro, and Ultra bundles that raise limits, add creative tools, storage, and — critically for studios — Gemini in Gmail, Docs, Vids, and more.

The studio job is the side panel. Draft the reply in Gmail without leaving the thread. Summarise the Doc. Pull context from Drive while you are in Sheets. Meeting notes and follow-ups that already live in the Google calendar of the company. That is why Gemini wins Workspace comparisons that ChatGPT cannot honestly enter on native terms.

Gemini also markets deep research, Live voice, image and video generation, Notebook-style research helpers, and agent features that change names (Spark and friends). Treat those as extras. The durable advantage is distribution: Android, Chrome, Workspace. The durable risk is assuming “it can see my Drive” means “it should see the client’s unreleased deck in a consumer setting”. Gemini is not automatically the better writer. It is the better neighbour when the file already lives in Google. If the company standard is Microsoft 365, this article is the wrong fork — you would be comparing Copilot in Office, not Gemini.

Pricing snapshot

Both have a free way in and paid plans for individuals and for organisations. The numbers move, and the surprise is usually the limit on messages, deep research, or seats — not the first demo. Read ChatGPT’s pricing and Gemini / Google AI plans (plus your Workspace admin console) the week you buy. We are not printing a monthly price that would be stale by the next invoice.

  • An individual paid plan is for the person who opens the tool every day. Buy it for that person, not for the company, until other people use it.
  • A team / business / Workspace plan is where you get an admin, seats you can add and remove, and the data terms you can put in front of a client. Consumer chats are the wrong place for unreleased work.
  • Gemini’s consumer Google AI bundles often include Drive storage and app integrations. That can look like “better value” in a PCMag sense. For a studio, value is whether the side panel is used — not whether you got more gigabytes.
  • The API is a different bill from the chat subscription. If you are embedding a model in a product, you are not buying “ChatGPT for the studio”. You are buying usage. Price that separately.
  • Two paid individual plans is reasonable when the jobs differ: ChatGPT as the company chat default, Gemini when the file is already in Docs. Two paid plans is waste when the second tab is guilt.

Who ChatGPT is best for

ChatGPT is for the company that already has the account. Everyday drafting, a shared set of instructions, browsing when you need a page summarised, a rough image when a slide is empty, a custom GPT for a repeated agency task. It is the path of least resistance, which means it will be used. Put the repeated tasks in saved instructions so people are not retyping the brief from scratch each morning.

It is the right single tool when you can only buy one and the writers already open it. Be explicit about the jobs it is clumsy at: native Workspace flow, the long archive that needs Claude, anything that needs a source you have read. Using the default honestly is better than buying Gemini because a chart said “integrations” and then watching nobody leave ChatGPT.

Not ideal if

  • The entire production system is Google Workspace and people live in side panels all day. You are fighting distribution.
  • You are about to paste unreleased work, keys, or a customer list into a consumer chat because it is convenient. Stop. Use a business plan or do not paste it.
  • You wanted a research briefing with sources. This will give you a confident draft. That is not the same thing.
  • You wanted a coding agent in the editor. Different budget, different tool — see Claude vs Cursor.

Who Gemini is best for

Gemini is for studios whose documents, mail, and calendars already live in Google. The side panel is the product. Gems that travel into Docs and Gmail are how you bottle a repeated task without a browser extension zoo. Deep research that exports toward Docs is a convenience when the deliverable was always going to be a Doc.

It is also the honest pick when leadership will not fund a second AI seat and the company Google login is already paid for through Workspace — if the admin has actually enabled Gemini where you need it. “Free with Workspace” is not universal; it depends on edition, region, and admin toggles. Check before you promise the team.

Not ideal if

  • The company does not use Google Workspace. Native integration is then a brochure feature.
  • The job is a voice that cannot sound generic, and you refuse to edit. Try Claude on that job before you conclude “AI cannot write”.
  • You needed an editor agent in the repo. Gemini’s coding extras are not Cursor.
  • You assumed consumer Gemini and Workspace Gemini share the same data promises. Read the current terms for each.

Studio workflows

Open Gemini in the side panel if you have it. Give it the thread and the three facts that must appear. Draft. Edit the claims. Send as yourself. If you only have ChatGPT, draft there and paste — and keep a short instruction: who we are, what we never claim.

Monday deck and short copy

Use ChatGPT if that is the login people have. Keep custom instructions for tone. Do not open Gemini to feel serious about a paragraph you will rewrite in four minutes — unless the paragraph lives in a Doc and the side panel is faster.

The Workspace research pack

Ask Gemini (or ChatGPT deep research) for a structured pack, then open the links. Save sources in Drive. Only then draft the client memo. A comparison that tells you one of them “hallucinates less” without a source of your own is how you repeat a false number in a meeting.

The voice pass

When the draft is structurally fine and sounds like nobody, that is often a Claude pass if you have it: the draft, two samples of the real voice, and an instruction to change tone without adding claims. See Claude vs ChatGPT. Gemini and ChatGPT can both do a voice pass. Neither signs the work.

What you must not paste

Treat a consumer chat as if the transcript could be retained and, depending on settings, used to train or review the product. Keys, passwords, unreleased financials, and a client’s confidential file do not belong there. Business, Enterprise, and Workspace admin controls are where retention settings and contracts live. Read the current data-use pages for OpenAI and Google before you paste. A tool is not safer because you prefer the logo.

Using both without the guilt tab

Moving a team from one to the other is an adoption project, not an export. People do not migrate a chat history in any way that matters. What migrates is the instructions: the voice, the brief template, the list of claims you never make. Rewrite those as a custom GPT or a Gem. Archive the old chats. Do not promise that the new login remembers the company’s year.

If you are adding Gemini because Workspace is home, keep ChatGPT as the general chat if people still open it — or set a date to cancel one. If you are adding ChatGPT because Gemini’s writing feels flat, try Claude on the long jobs before you pay OpenAI and Google and Anthropic for the same afternoon.

Using both on purpose: ChatGPT as the company default for short drafting and the odd image. Gemini when the file is already in Google and the side panel saves a context switch. Review the second subscription every quarter. If you did not open it, cancel it. The waste is the tab you keep out of thoroughness.

Is Gemini better than ChatGPT in 2026?

For Google Workspace-native work, often yes. For a team that already lives in ChatGPT, and for everyday drafting outside Google’s apps, ChatGPT is the better buy because it will be used. Better at the job in front of you is the only version of “better” that survives the next model release.

Which is better for writing?

For short drafts, either is often good enough — use the one people open. For a voice that cannot sound generic, or a draft that has to stay inside a long brief, try Claude and then edit. Neither ChatGPT nor Gemini is the writer of record.

Which is better for Docs and Gmail?

Gemini, when it is enabled on your Workspace or Google AI plan. ChatGPT can connect on some plans and via third-party add-ons, but native side panels are Gemini’s home ground.

How should a small team think about pricing?

Start from seats and jobs, not from a headline number you saw on a review site. Read both official pricing pages the same week. Prefer one paid plan the whole studio uses over two plans half the studio ignores. Move client work onto business/Workspace terms before the first awkward audit question.

Which is better for research with sources?

Can Gemini replace ChatGPT for an agency?

How does Claude fit?

Sometimes, on some editions, in some regions, when an admin turns it on. It is not a universal entitlement. Check your admin console and Google’s current Workspace Gemini documentation before you tell the team it is free.

How to decide this week

Take two real pieces of work, not a demo prompt. One is a short draft the team writes every week. One is a task that already lives in Gmail or Docs. Run each in the tool you are considering, edit the result, and see which one you would send. If the company will only open one login, weight that more than a nicer paragraph.

Pay for the assistant that matches the document you open on Monday. If that document is a Google Doc and the side panel is half the job, Gemini. If the company will only open one chat and it is already ChatGPT, stay, and use Gemini only if Workspace adoption is real. Cancel the one you stopped opening. Do not buy a third until Claude has earned a named job.

Both live on AI assistants. The list is organic. Paying for a pin or for Claim #1 does not move it.
